Terms for document scanning and dossier preparation services

This document governs the use on LetFlat.net of the technical services for document scanning and assembly of a template-based user dossier.
This document applies together with:
- the Terms of Use,
- the Paid Services Terms (CGV),
- the Privacy Policy,
- the Cookies and Tracking Policy,
- the other platform documents.
1. General provisions
1.1. LetFlat.net may provide users with technical digital tools for:
- uploading and processing documents;
- extracting or organising data from documents;
- assembling a template dossier based on data and materials entered or uploaded by the user.
1.2. These services are purely technical and ancillary in nature.
1.3. By using these services, the user confirms that they have read and accepted these Terms in full.
2. What the platform actually does
2.1. Document scanning service
The platform may provide the technical ability to:
- upload a file;
- process it by software means;
- receive the processing result in the platform interface or in another provided format.
2.2. Dossier assembly service
The platform may provide the technical ability to:
- enter data manually;
- upload documents;
- generate a template-based user dossier;
- download, print, save or delete the generated result where such functions are available in the interface.
2.3. Important limitation
LetFlat.net does not provide, within these services:
- legal services;
- financial services;
- accounting services;
- immigration advice;
- real estate services;
- advice on which documents to choose;
- guarantees as to the legal suitability or completeness of the dossier.
3. Nature of the service
3.1. The document scanning and dossier assembly services are technical tools for automated preparation and/or processing of materials.
3.2. LetFlat.net does not decide for the user:
- which documents to upload;
- which data to enter;
- which documents to include in the dossier;
- whether the result should be used in a given life or legal situation.
3.3. The user alone determines the composition, scope and content of their data and documents.
4. What data the user may enter
4.1. Depending on the service functionality, the user may at their own discretion enter or upload in particular:
- full name;
- income information;
- occupation details;
- employer details;
- passport data;
- residence permit data;
- tax documents;
- bank documents;
- other information and files the user considers relevant.
4.2. All such fields and documents may be optional unless otherwise expressly indicated in the platform interface.
4.3. The user understands that such information may contain sensitive, confidential or otherwise important personal information and undertakes to exercise caution when uploading and using it.
5. User responsibility for uploaded data and documents
The user remains solely and fully responsible for:
- 5.1. the lawfulness of uploading documents;
- 5.2. the accuracy of the data entered;
- 5.3. having the right to use, upload, process, store, transmit or print the relevant documents;
- 5.4. ensuring that they do not include third-party personal data without a lawful basis, unnecessary personal data, documents they are not entitled to use or materials infringing third-party rights or the law.
5.5. The user undertakes not to use document-related services for unlawful processing of other persons’ personal data, documents or materials.
6. No guarantee of results
6.1. LetFlat.net does not guarantee that the result of document scanning or the generated dossier:
- will be complete;
- will be error-free;
- will be legally sufficient;
- will be accepted by a landlord, agency, employer, administrative authority, bank or any other third party;
- will comply with the requirements of a specific procedure or a specific country.
6.2. LetFlat.net does not guarantee the suitability of the result for any legal, contractual, immigration, financial, administrative or other purpose.
6.3. A third party’s refusal to accept a dossier, document or processing result does not in itself constitute a defect of the service.
7. No advice
7.1. LetFlat.net does not advise the user on:
- which documents are mandatory;
- which documents should preferably not be uploaded;
- which data is legally sufficient;
- what requirements are imposed by a particular landlord, agency, institution or country;
- whether the dossier complies with the law.
7.2. If the user needs a professional assessment, they must consult the relevant specialist themselves.
8. Data retention within document-related services
8.1. General principle
LetFlat.net follows the principle of storage minimisation.
8.2. Document scanning
If the user uses the document scanning service, uploaded files and intermediate data are processed only to the extent necessary for the technical performance of the service.
8.3. Dossier assembly
If the user creates a dossier:
- source data should not be stored longer than necessary to perform the function if the user has not chosen to save it;
- if the user is given the possibility to save the result, they may use that result at their own discretion within the platform’s functionality.
8.4. Right to delete
If the result of a document-related service has been saved at the user’s choice, the user must be able to delete it themselves.
8.5. Additional processing rules
Issues relating to processing of personal data within such services are further governed by the platform’s Privacy Policy.
9. User’s use of the result
9.1. The user may use the result of the service at their discretion provided that this does not breach the law, third-party rights or platform documents.
9.2. The user decides for themselves whether to:
- download the result;
- print the result;
- save it;
- delete it;
- transfer it to third parties.
9.3. Once the result is transferred to third parties, the user alone is responsible for that transfer and its legal consequences.
10. Paid nature of the service
10.1. The document scanning and dossier assembly services may be paid.
10.2. Payment, service activation, refunds, withdrawal and other financial conditions are governed by the Paid Services Terms (CGV).
10.3. If the service actually starts immediately after payment or user confirmation, it is deemed to have begun from that moment.
10.4. Once the service has actually started, no refund is available to the extent permitted by applicable law.
11. Restrictions on use
The user may not use document-related services for:
- 11.1. uploading malicious files;
- 11.2. uploading unlawful materials;
- 11.3. forging or falsifying documents;
- 11.4. unlawful use of other persons’ personal data;
- 11.5. automated abuse of the service;
- 11.6. circumvention of the law, fraud or any other unlawful purpose.
The platform may restrict or terminate access to the service where there are signs of such breaches.
12. Technical limitations and quality of results
12.1. The result of scanning or dossier generation may depend on:
- the quality of the source file;
- the completeness of the data entered by the user;
- the document format;
- image readability;
- technical limits of the service;
- temporary failures, updates or restrictions of external tools.
12.2. LetFlat.net does not guarantee absolute accuracy in recognition, formatting, text extraction or other automated processes.
12.3. The user must check the result themselves before using it.
13. Suspension and termination of access to the service
13.1. LetFlat.net may at any time:
- modify the document-related service;
- limit its functionality;
- temporarily suspend it;
- fully discontinue it.
13.2. Such measures may be linked to:
- technical reasons;
- legal reasons;
- security requirements;
- platform updates;
- changes in the business model;
- abuse by users.
13.3. The platform does not guarantee permanent availability of document-related services.
14. Limitation of platform liability
14.1. LetFlat.net is not liable for:
- the user’s choice of documents;
- the legal consequences of using the result;
- refusal by third parties to accept the dossier or documents;
- inaccuracies caused by the quality of source files;
- errors caused by incorrect user data;
- losses connected with use of the result of a document-related service;
- the consequences of transferring the result to third parties.
14.2. Nothing in this document excludes or limits the platform’s liability to the extent such liability cannot be excluded by law.
15. Relationship with other platform documents
15.1. These Terms must be read together with:
- the Terms of Use;
- the Paid Services Terms;
- the Privacy Policy;
- the other LetFlat.net documents.
15.2. In matters relating to processing of personal data, the Privacy Policy prevails.
16. Amendments to the terms
16.1. LetFlat.net may amend these Terms of Use for document-related services.
16.2. The current version is published on the platform and takes effect upon publication unless otherwise stated.
